Meet Setup - Post 2
Hello again!
In this series of posts we will be stepping through how meettrax aims to make meets better. We will progress through the features in roughly the same order that you would be using them in real life. So, first up is setting up a new meet that you will be hosting. We will be focusing on a track meet but other sports will be available.
Meet Venue
Meets start with a venue. First you will provide your venue details including the surface, number of lanes and more. Next, Provide the address and we will provide in-app navigation to the venue. Meettrax will also show the elevation, timezone, and weather information.
Competition Areas
Competition areas allow you to define the areas that events can be scheduled. We will auto-create the common areas for you (the track, field event areas) but if you have multiple areas for the same type of event (long jump, etc.) you can add them as needed.
Meet Setup
Now we get to set up the meet information. This is where you provide the basic details of the meet.
Meet Sessions & Divisions
- You can define one or more "sessions" for the meet. You can have multiple sessions in one day if needed. This will allow you to assign events to each session, helping you to build the meet schedule.
- Each meet can have one or more "divisions". This allows you to divide the contestants however you need. For example, Varsity, JV, 1A, 2A, etc.
Events
- For each division, add which events will be contested. You can specify the round details, registration limits, scoring data, and more.
Schedule
- You will now be able to create the meet schedule. One of our goals is to remove the need to create a separate document with the schedule details. You can provide any free-form notes or information as needed. Next, set the order of events by assigning event rounds (prelims, finals, etc.) to the appropriate session and competition area - in the desired order. This is done by simply dragging the events into the desired location and order. Here, the meet starts at 2 PM and is on a rolling schedule. So, we can see the Boys Javelin will be following the Girls Javelin.
- Next, you can provide event-specific information that will be helpful for the participants. For example, show the opening height and planned height progressions for the high jump.
Registration
- You can setup the registration rules including:
- Registration open and close times
- Number of teams allowed and how they can join (open or by invitation only)
- Specify if teams will have assignments at the meet and provide details
- What the costs are to attend the meet and how they are calculated (no charge, per team, per athlete, etc.)
Invitations & Requests
- Once your meet is scheduled other teams will be able to find your meet
- You can send direct invitations to the teams or (if allowed) teams can request to join your meet
- Teams you invite will be notified and can accept if desired
- You will be notified when teams request to join your meet - you can then approve or deny their request
Assisted Setup
As you go through this process, meettrax will provide feedback on areas where your attention is needed.
